General

Proctorio GmbH is a German company and a subsidiary of Proctorio Inc.

Proctorio Inc. was founded in Scottsdale, Arizona, which is where the software continues to be developed. To make sure that the performance of the Proctorio extension is seamless and complies with all regional regulations (e.g. the DSGVO), the data centers for European customers are located in Frankfurt am Main, Germany.

Since Proctorio GmbH is a German company, only German contracts are used.

You will have a German-speaking contact person available to you throughout all phases of your cooperation with Proctorio. Proctorio’s Munich Office offers both telephone and face-to-face communication in German.

Proctorio offers two different pricing models:

Pay per exam: Each individual exam is charged separately.

Pay per student per year (12 months): With a fixed price per student, unlimited exams can be taken. This pricing model is cost-effective starting at just five exams per student and per year.

Both price models include support (available 24/7).

There is no minimum number of students required to use Proctorio. However, some functions that are based on comparative values only develop their full potential starting at three students or more.

There is no lower or upper limit to the number of exam participants who can take an exam with Proctorio at the same time. The number of participants is unlimited.

From a technical perspective, there is no obstacle to scaling up. However, if your institution has chosen the ‘Pay per exam’ pricing model, switching to the ‘Pay per student’ pricing model would likely make more financial sense when scaling up.  

No. Proctorio does not need to be informed. The examining institution has full control over the scheduling, content and criteria of the exam.

No. The content of the exam can be entered into your Learning Management System (LMS) as per usual. With Proctorio’s seamless integration into your LMS, you can flexibly add or activate Proctorio to any of your exams. 

 

Data Protection and Security

Yes, Proctorio’s external Data Protection officer has thoroughly tested the Proctorio extension and confirmed that Proctorio is GDPR compliant. As soon as a GDPR certification is possible, we will go through the certification process.

No. The student data collected during an exam (e.g. video recordings) is only available and visible to institutions. This is ensured by the 3-fold data encryption. Only the holder of the digital key has access to the data. See also „Who has access to the examination data?“ and „How is the examination data encrypted?”.  

The data center is located in Frankfurt am Main, Germany, and is therefore within the European Union. 

Through Zero-Knowledge encryption, we ensure that only the responsible institution receives the key to decrypt the data. No other party has access to the data, not even Proctorio. 

The data process is audited by Proctorio’s Data Protection Officer and is continuously monitored by the institutions’ Data Protection Officers.

Data will be automatically deleted after the period of time specified by the institution. This period may be 30, 180 or 365 days, depending on the retention periods applicable to the institution. In rare cases, retention periods of 2-3 years may occur.

No. The Proctorio data center for Europe is located in Frankfurt and is isolated from all other Proctorio data centers. There is no connection between Proctorio’s data centers.

Three-level encryption is used:

  1. The zero-knowledge layer is secured using AES-GCM before it leaves the test taker’s device, using encryption keys never shared with Proctorio
  2. Transmission into the datacenter is only over TLS 1.2 or 1.3 and, if the client supports it, we use Perfect Forward Secrecy (PFS).
  3. Data at rest within the data center is encrypted using AES-256 and is FIPS 140-2 compliant. All data centers are ISO 27001 certified, SOC 2 attested.

Technical Questions

If you are using a standard LMS, Proctorio should take around 10 minutes to install. The standard LMS with existing Proctorio interfaces include Moodle, Canvas, Iliad, EvaExam, Cirrus, Blackboard.

For individual solutions, the implementation time depends on the configuration of the interface.

If your institution uses a standard LMS (e.g. Moodle, Canvas, Iliad, EvaExam, Cirrus, Blackboard), Proctorio will be seamlessly integrated via LTI. 

If your institution uses a non-standard LMS, the installation will be configured via an API interface.

Yes. Proctorio is not a stand-alone solution. It is a browser extension that can be integrated with an LMS.

Only the Chrome Browser and the Proctorio extension are required to use Proctorio.

To set up an exam with Proctorio, all you need is a standard PC/laptop and a stable Internet connection.

To take an exam with Proctorio, a standard PC/laptop with microphone and webcam is required. As a precaution, you should always compare your computer with the minimum technical requirements.

1 Free RAM is the minimum amount of memory that is not in use by other applications.
